What are project management tools frustrating workers?

Project Management 02 Interview

What are project
management tools frustrating workers?

Even if you have implemented a project control Tools, it is meaningless if you cannot use the project site. In this issue, we asked Mr. Kuriyama, who promotes the planning, Development, and improvement of TimeTracker RX, what are the characteristics of project-management Tools that cause setbacks in the field, and how we can continue to use them without setbacks.

[Interview] Junji Kuriyama, IOTA Promotion Department, DENSO CREATE INC.

The key to Tools selection is
Whether or not it is a pleasant Tools for the field.

−−−There are a variety of project management tools available, but are there any points to consider when selecting one?

KuriyamaWhen choosing a project management tool, it is easy to pay attention to the functionality, but I think it is also important to determine if the product matches the intention of the user, such as the trigger and purpose of the tool's introduction. It is also important that the field can continue to use it in order to avoid frustration. It's important to know if it's a great tool for the field.

−−−So, what are some of the characteristics of a project-management Tools that don't make the field happy?

In general, project management tools that do not make the field happy and fail include the following problems.

  • The interface is difficult to use and I find the field cumbersome.
  • Too many Features, hard to understand, lots of work.
  • Even if you enter data, it is your boss or the operation department that makes you happy, not the field.
  • Data is not accurate and cannot be used to improve or visualize.
  • There is no ExportFeatures to Excel, etc., and secondary use of Data is not possible.

"Easy to use" is the starting point for project management tools rather than functions.

−−−You're the first to mention the interface.

KuriyamaYes, I believe that the most important factor in selecting a project management tool is ease of use.
If you say "use" from the top down without considering whether it is easy for the field to use, no matter what Tools is, it will be used at first, but it will not be able to be used for many years. Ease of use and continuity are often neglected rather than Features, but they are very important above all else and should be the starting point for project-management Tools.

If Tools is difficult to use, the accuracy of Data will decrease and it will not lead to remedial activities.

−−−What other Problems occur when the interface is difficult to use, other than "I can't continue"?

KuriyamaIf it is difficult to use, there will be a sense of being forced to do so, and the accuracy and frequency of Update of planning and performance Data will naturally decrease. If this happens, you will not be able to get Data that can be used to improve the quality of your work that the field can utilize. I don't think that's a tool that makes the field really happy.
I often hear customers say, "Actually, XX is the norm at work, but it's difficult to use, so we're looking for another one. If the tools are not truly satisfactory to the field, the expected results and effects will not be produced even if you have taken the trouble to introduce project management tools. That should not be what the company wants.

It's no wonder there are so many Features alone.

−−−The next characteristic is that "there are so many Features that it is difficult to understand."
Isn't it a good thing that there are so many features?

KuriyamaWhen you start using a project management tool, you tend to think that it is better to have a lot of functions because you will want to do this and that, but I think it is no use having a lot of functions alone.
In a Tools with a long history, Progress rate alone has several Input columns, and at first glance, it may be difficult to know which Type to Input.
Also, it may be the correct behavior for Tools, but when you try to Move a task, it may Move to an unexpected location.
I think there are also other Features that have become jumbled and difficult to understand because the main focus of Add was only to satisfy Features because they are available from other companies or because there are requests.
It may be enough to read the manuals of the project-management Tools carefully and understand the concept, but for users who don't need that much, this is a completely troubling Features.

Features of TimeTracker RX is carefully selected based on "site-oriented."

−−−So TimeTracker RX doesn't have many features?

KuriyamaNo, Features is not small. But it has a select Features at all times.
We have received many TimeTracker RX requests from customers for additional functions. It's the voice of the customer, and if possible, I want to make it all happen. However, there is always a debate about whether a project-management tool with many functions will lose its original TimeTracker RX character.
Even when adding functions, we do not forget to be site-oriented and "easy to use and happy for the field," and try to adopt approaches that only TimeTracker RX can provide.

In the end, it is the field that Input Data.
It is important to have tools that make the field happy.

−−−Are you still frustrated by Tools of "what makes me happy is my boss or the investment department"?

KuriyamaI don't think this is a Tools, but rather a story about how and why to introduce Tools. The purpose of introduction varies from "reducing project delivery delays," "detecting cost overruns in each project at an early stage," to "visualizing the workload of personnel," etc. However, the first important thing for any purpose is that a project management Tools should be a tool that project sites are happy to use. Of course, you need a management perspective and Features for your boss and investment departments. However, in the end, it is the project-site and individuals who Input Data, so it is important to have tools that will please the project-site.
If you have experienced the bitter experience of implementing a project-management Tools, you may know that if you use it in a way that only your boss or operations department will be happy with, there will always be a sense of resistance in the field. And I think this leads to Result that it ends in Failed and becomes a skeleton.

The continuity that everyone can continue to use every day is unique to TimeTracker RX.

−−−Finally, in TimeTracker RX's Development, what do you focus on to prevent the field from falling behind?

KuriyamaThere is a concept in TimeTracker RX that you can start and keep going. I think this Tools is unique in that it has an easy-to-understand interface that allows you to start easily and continuity that everyone can continue to use every day.
In our Development, sales, and supporting activities, we place great importance on using TimeTracker RX to gain Continue. You may only buy it once, but after that, I want to make sure that you are really using it every day and that the degree of use is increasing.

TimeTracker RX has a full range of functions that people in the field want to use to improve themselves.

KuriyamaIn addition, TimeTracker RX has a full range of functions, both on a project-by-project basis and on an individual-by-person basis, based on the idea that people in the field can use their own data to help improve their work.
For example, there is a Features called "Quick Report" that allows you to tabulate and Graph the ratio of man-hours by process with a simple Operation. With this Features, you will be able to use it as historical Data for your next estimate, and you can also use it to look back and improve if there are Problems such as cost overruns. In addition, on an individual basis, there is a Features that allows you to easily report on how you are using your man-hours on Input work time page. You can freely customize it according to your application, such as how much man-hours are being used for each project, whether the man-hours are being put into the planned tasks, and what the ratio of work to modification man-hours is.

In this way, TimeTracker RX is equipped with a Features that the field will want to use to improve themselves, so the accuracy of Data will naturally increase, and the system will not fail to be used in the middle.
